Your confidence, comfort level, and trust are a priority to us when it comes to the handling of your business and personal information. We are committed to respecting and protecting your privacy. Convenos is a licensee of the TRUSTe Privacy Program, and has agreed to disclose its information practices and to have its privacy practices reviewed for compliance by TRUSTe. TRUSTe is an independent, non-profit organization whose mission is to enable individuals and organizations to establish trusting relationships based on respect for personal identity and information by promoting the use of fair information practices.

This privacy policy discloses the privacy practices for the site www.convenos.com. By registering your details with Convenos you confirm that you have read, understood, and agree to the provisions of this privacy policy and to the Terms of Service.

This privacy policy explains the data collection and use practices of the Convenos website, Convenos Meeting Center website, Convenos services, and associated software (the "Services"). By using the Services, you are consenting to the information collection and use practices described in this privacy policy. This privacy policy does not apply to other online or offline Convenos sites, products, or services. The TRUSTe program covers only information that is collected through the website, and does not cover information that may be collected through software downloaded from the website.

If you have questions or concerns regarding this privacy policy, you should first contact privacy@convenos.com. If you do not receive acknowledgment of your inquiry, or your inquiry is not satisfactorily addressed you should then contact TRUSTe through the TRUSTe Watchdog Dispute Resolution Process. TRUSTe will then serve as a liaison with the website to resolve the concern(s).

About Convenos and Convenos Meeting Center

Convenos is a privately funded, Silicon Valley based venture dedicated to advancements in web collaboration and conferencing tools.

Convenos Meeting Center is a Web-based collaboration and conferencing solution that allows users to create and join a virtual workspace in order to communicate via Voice over Internet Protocol (VOIP), present slides, share applications accessible through a meeting attendee's desktop, share and collaborate on documents, access a shared view of the Internet, share video and other multi-media files, use text messaging for real-time "chat", survey meeting attendees using polling, and optionally record the overall meeting proceedings. Convenos Meeting Center is Web-based and hosted on secure Convenos servers in a controlled environment, except in the cases where it is hosted in a proprietary manner by a customer's internal information technology (IT) resources. For customers accessing the service via the Internet, there will be a minimum of personally identifiable information required as a login which will be initially captured during a user registration process.

Collection and Use of Your Business Information

Information that is provided by any user such as contact details, meeting schedules, attendee lists, subject matter and content of any Web presentations, live or recorded visual or audio, and any content uploaded to our servers ("Business Information") is considered confidential to the purchaser where such information was provided.

Convenos will not view Business Information except as necessary to appropriately support the Services. We will use Business Information for the purpose of service capacity planning; anticipating, diagnosing, supporting or resolving any problems that might limit or disrupt the Services; and improving the quality of the Services. Any Business Information collected during the meeting is also used to facilitate debugging during development, or to debug customer escalations that are being reproduced in real time.

Furthermore, as part of the Services, we collect and log information generated from the meeting, including but not limited to which meeting participants viewed slides during the presentation, questions and answers that are delivered to meeting presenters and participants, slide transitions, documents, notes or annotations made by you and any other meeting participants, posting of comments, or requests for prints or downloads of presentations. This meeting content information may also be shared or viewed by other authorized meeting participants. This information may also be shared with the party who is hosting or sponsoring the meeting.

The Services may also collect and store real-time communication "chat" between users and operators (through live technical support chat). This data is used solely to improve the Services and for operator training purposes. You should be aware that any personally identifiable information you submit while in-meeting and utilizing the chat feature can be read, collected or used by the meeting organizer and other meeting participants.

Security of Business Information

Your Convenos account information is password-protected for both privacy and security. In-meeting information is end-to-end encrypted and only accessible by the authorized meeting organizer and participants. In-meeting information is never exposed in an unencrypted form while temporarily resident on Convenos servers or during transmission across public and/or private networks. In certain areas, Convenos uses industry-standard Secure Socket Layer (SSL) encryption to protect data transmissions. In other areas, Convenos uses proprietary security methods to protect data transmissions.

Collection of Your Personal Information

Convenos will collect your personal information if you choose to register for or request information about the Services, or if you participate in a meeting facilitated by the Services. The information we collect may include your name, gender, postal address, email address, telephone number, facsimile number, company name, job title, credit card for billing and information about your company, as well as information about the nature of your usage of our service, including the number of meeting attendees, duration and frequency of meetings, and total number of meetings. The actual data captured may be a subset of this list. For customers and other registered users of the service, there will be the minimum amount of information required to adequately deliver the Services, process payments, update our records, communicate with you about products and services, and generally maintain your accounts with us. For meetings attendees who are not customers or registered users, there will be the minimum amount of information required to adequately deliver the Services.

We may collect certain server-related information about your visit, such as the name of the Internet service provider and the Internet Protocol (IP) address through which you access the Internet; the date and time you access the Web site; the pages that you access while at the Web site and the Internet address of the Web site from which you linked directly to our site. None of this information is personally-identifiable by itself. However, we may tie this server information to personally identifiable information to help improve the Services, analyze trends, prevent abuse of the system and administer the Services.

Use of Personal Information

The personal information we collect will only be used to provide the Services or carry out the transaction you have requested or authorized. This may include using the personal information to:

  • process payment through a third-party credit card processor (such as VeriSign);
  • display participant profiles to fulfill the Services, including contact information;
  • provide you with important information about the Services, including critical updates and notifications;
  • improve the Services;
  • provide you with more effective customer service;
  • substantiate bills to our customers;
  • authenticate the user and the user's rights to attend, present or organize a specific online meeting;
  • send information about products, services, special promotions, if requested by you;
  • send a newsletter, if requested by you;

The Convenos Meeting Center product may offer users additional value-add features such as video conferencing and registration services through third-party providers. Convenos may share information necessary for the delivery of such services with these providers. In these instances either the provider will be required to maintain the confidentiality of user information, or it will be clear to the user before the transfer occurs who is collecting the information and whose privacy statement will govern. We occasionally hire other companies to provide limited services on our behalf, such as handling the processing and delivery of mailings, providing customer support, or performing statistical analysis of our services. We will only provide those companies the personal information they need to deliver the service. They are required to maintain the confidentiality of that information and are prohibited from using that information for any other purpose.

We may access and/or disclose personal information if required to do so by law or in the good faith belief that such action is necessary to: (a) conform to the edicts of the law or comply with legal process served on Convenos or the site; (b) protect and defend the rights of property of Convenos and its family of Web sites; or (c) act in urgent circumstances to protect the personal safety of Convenos employees, users of Convenos products or services, or members of the public.

Personal information collected by the Convenos website and Convenos may be stored and processed in the United States or any other country in which Convenos or its affiliates, subsidiaries, or agents maintain facilities, and by using this website, you consent to any such transfer or information outside of your country. Convenos abides by the safe harbor framework as set forth by the U.S. Department of Commerce regarding the collection, use, and retention of data from the European Union.

Control of Your Personal Information

Except as otherwise described in this statement and as appropriate to fulfill our meeting Services, personal information you provide related to the Services will not be shared outside of Convenos without your permission.

With regard to personal information that is collected at registration from our users (e.g. name, user ID, email address), we present the option not to receive communications regarding the Services. Customers who no longer wish to receive communications may opt-out or unsubscribe from receiving these communications. Each communication will have a way to unsubscribe from that list. Please be aware that this privacy statement and the choices you make related to the Services will not apply to personal information you may have provided to Convenos in the context of other, separately operated, Convenos products or services.

Access to Personal Information

All personal data you have submitted to Convenos for any purpose can be changed and/or deleted. Customers, meeting attendees, and other registered users can log in to http://www.convenos.com and access their profile to modify personal information.  Requests can also be made via email to privacy@convenos.com. Requests for changes will be responded to and honored within thirty (30) days of submission.

Security of Your Personal Information

Convenos is committed to protecting the security of your personal information. We use a variety of security technologies and procedures to help protect your personal information from unauthorized access, use, or disclosure. For example, we store the personal information you provide on computer servers with limited access that are located in controlled facilities. We use industry-standard efforts to safeguard the confidentiality of personally identifiable information, including encryption, firewalls, and Secure Socket Layer (SSL).

We do not disclose your private, online communications. However, what you publish to your Convenos services is available to those whom you authorize to see the information. In the event that you elect not to use any of the Service's security access controls, the content that you publish is available to those in the general public who are aware of the URL address for your meeting.

Please be vigilant with your password information. If you have reason to believe it is no longer secure, edit your profile to change your password as soon as possible. If you require assistance in doing so, please contact us at privacy@convenos.com.

From time to time, we post customer testimonials on our web site which may contain personally identifiable information such as the customer's name.  We obtain specific customer consent prior to posting their name along with their testimonial.

Use of Cookies and Email features

We use cookies to save information (name, address, phone number, email address) so you don't have to re-enter this information each time you visit the Convenos website. Cookies from a third party, (ie: LivePerson, Jobvite), may also be set. They are a part of a system that tracks visits (visit length, pages visited) to assist with customer service and/or support requests. A cookie is a small text file, which often includes an anonymous unique identifier, which is placed on your hard disk by a Web page server. Cookies cannot be used to run programs from or deliver viruses to your computer. Cookies are uniquely assigned to you, and can only be read by a Web server in the domain that issued the cookie to you. The primary purpose of cookies is to provide a convenience feature to save you time. For example, if you personalize a web page, or navigate within a website, a cookie helps the website to recall your specific information on subsequent visits. This simplifies the process of delivering relevant content, eases site navigation, and so on. When you return to the website, the information you previously provided can be retrieved, so you can easily use the site's features that you customized. With certain exceptions, you have the ability to accept or decline cookies. Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer. Furthermore, a cookie will be set when you agree to the Convenos end-user license agreement, in order to facilitate future access to the Services. This cookie is also used in subsequent sessions to take you directly to the Services and you will not be able to use the Services if you disable this cookie.

If you choose to use the “Email Article” feature on our site, you are asked to provide a friend's name and email address. Convenos will automatically send a one-time email to view the article.  Convenos does not store this information.

Links to Other Websites

This website may contain links to other websites, for services or additional information.  These websites may or may not look like the Convenos website and/or pages on the Convenos site may be masked to provide information from another site using the Convenos “look and feel”.  Please be aware that this privacy statement applies solely to the information collected by Convenos for the Convenos Service. We are not responsible for the privacy practices or the content of other websites. In some cases, the Services may be hosted by a customer at the customer's site. In such cases when the Services are being run on the customer's network, users should visit the Convenos website in order to review the privacy policy. We encourage you to be aware when you are leaving this website and read the privacy statements of each and every website that you visit before providing any personal information.

In addition, Convenos uses Jobvite, a hosted service for strategic hiring, to collect and track applicants and their resume information.  The information collected when an applicant applies to an open position at Convenos is collected via the Jobvite site and is securely stored on the Jobvite servers and subject to the Jobvite privacy policy.
